HubSpotRevenue Hub · Quote-to-Cash

Quote to cash, engineered inside HubSpot.

HubSpot Revenue Hub puts quoting, contracts, billing and payments on the same record as your pipeline. It only pays off when the system underneath is built right. JayOh designs, migrates and runs Revenue Hub with a library of proven plays. Pick the ones that fit your business.

How it works

One connected record, from deal to dollars.

Every step writes back to the same CRM record. Sales, customer success and finance stop reconciling and start working from one set of numbers.

01ProductsProduct library, price books, pricing models
02DealLine items carried through every step
03QuoteAI-drafted, rules + approvals, sign & pay
04ContractTCV, ACV, MRR, ARR, renewal date
05BillingSchedules, invoices, proration, credit memos
06PaymentsCard, ACH, autopay, payment links
07Renew & expandChange + renewal quotes extend the contract

The contract is the new source of truth. MRR, renewals and expansion report from signed contracts, not optimistic deal amounts. Get this object right and everything downstream works. Get it wrong and every report is confidently wrong.

Before you buy seats

Revenue Hub assumes six things about your portal.

Most teams don't have all six. That's why "turn it on" projects stall. We check these first, fix what's broken, then build.

1

A product library that matches how you sell

Clean SKUs, consistent prices, price books by region, segment or channel.

← where most projects actually start

2

Complete deal records

AI quotes, contracts and billing inherit whatever the deal holds, gaps included.

3

Written discount & approval rules

If the policy lives in someone's head, the system can't enforce it.

4

Settled accounting mapping

Chart of accounts, product-to-account and tax mapping agreed with finance before the sync is on.

5

Deduplicated companies & contacts

Duplicates split billing history and break renewal reporting.

6

Stage exit criteria that mean something

Contract and billing automation fire off stages. Fuzzy stages produce wrong invoices.

How we run it

From readiness to running, one Growth Pod.

A consultant who owns the outcome plus developers who build it, working in weekly sprints. Start at any step. Most teams start at the first.

STEP 1 · START HERE

Readiness Audit

A scored check of the six prerequisites, a map of your quote-to-cash flow, and a go/no-go.

  • Quote-to-cash process map with owners
  • Stack cost and consolidation model
  • Tier recommendation (Pro vs. Enterprise)
  • Prioritized play roadmap
2–3 weeks · fixed scope
STEP 2

Quote-to-Cash Launch

We build the system: catalog, quotes, contracts, billing, payments, accounting sync and reporting.

  • Templates, approvals, quote rules
  • Contracts + renewal pipelines
  • Payments, tax, QuickBooks/Xero mapping
  • Parallel billing cycle before cutover
Typically 1–4 months
STEP 2 (ALT)

CPQ & Billing Migration

Moving off a separate CPQ, document or billing tool without losing history or double-billing a customer.

  • History + in-flight contract migration
  • Cutover and sunset plan
  • Reconciliation sign-off with finance
Built on 75+ CRM migrations
STEP 3

Revenue Ops Run

We operate it so it stays clean: catalog changes, approvals, renewals, month-end checks and new plays each quarter.

  • Sprint-based admin + enhancements
  • Agent tuning and credit monitoring
  • Quarterly play roadmap
Ongoing retainer
Straight talk

Where Revenue Hub fits, and where it doesn't.

Strong fit

  • HubSpot is (or will be) your sales system of record
  • Subscriptions, seats, retainers, annual contracts, renewals that matter
  • Quote-to-cash spread across 3+ tools and spreadsheets
  • Sales and finance report different MRR / ARR
  • PE-backed and need board-ready revenue reporting
  • Finance on QuickBooks or Xero and staying there

Look elsewhere (or pair it)

  • Usage-based or metered billing at the core of pricing
  • ASC 606 revenue recognition or multi-entity consolidation
  • Highly configurable products and multi-tier ramp deals
  • Salesforce is the sales system of record
  • EU entities under e-invoicing mandates (start with quotes + contracts)
  • Native payments needed outside the US, UK and Canada without Stripe

Six traps we design around

Double billing

An accepted quote can silently create a contract and billing schedule. Leave the old billing tool on and customers get two invoices.

We run one parallel cycle and cut over cleanly.
Beta features

Parts of contracts, price books, credit memos and some agents are still in beta or gated behind enrollment.

We tell you what's production-ready for your use case.
Enterprise gating

Quote rules and multi-step approvals need Enterprise seats.

We size the tier before you buy, not after.
Two sources of truth

Old renewal spreadsheets and custom "contract" objects left running split your reporting.

We retire them as part of the build.
AI credit burn

Collections agents consume HubSpot credits per invoice they work.

We model credit spend and pilot on a cohort first.
Year-two fees

Launch promotions and fee waivers expire.

We build the payment-rail and fee model on your real volume.
FAQ

Questions we get every week.

What is HubSpot Revenue Hub?

Revenue Hub is HubSpot's quote-to-cash product, the evolution of Commerce Hub, launched in June 2026. It connects CPQ (quotes, approvals, e-signature), a native contracts object, subscription billing and invoicing, and payment collection to the HubSpot CRM, with revenue reporting and AI agents on top.

Do we need to replace QuickBooks, Xero or NetSuite?

No. Your general ledger stays where it is. Revenue Hub syncs natively with QuickBooks Online, Xero sync is in beta, and NetSuite connects through the marketplace or API. We agree the account and product mapping with finance before the sync goes live.

Can we keep Stripe?

Yes. Revenue Hub can collect through HubSpot Payments (US, UK, Canada) or a connected Stripe account. We model both against your real transaction mix, card vs. ACH and average invoice size, and recommend the cheaper rail.

Professional or Enterprise?

Professional covers full quoting, contracts, standard approvals, revenue analytics and automated sales tax. Enterprise adds multi-step approvals and quote rules for price, discount, quantity and product-compatibility guardrails. Only people who create or edit quotes need a paid seat. The Readiness Audit tells you which tier your plays actually need.

How long does an implementation take?

A clean portal with simple pricing can be quoting and billing in a few weeks. Migrations from another CPQ or billing tool, multiple price books or messy data take one to four months. The six prerequisites decide the timeline, so we check them first.
