The CRM owns the deal. Chargebee owns the subscription and the money. The integration’s job is to keep those two truths linked.
Based on Chargebee’s published integration documentation as of October 2026. Diagrams simplify; field-level behavior depends on your package version and mapping settings. Arrows show the typical direction of each sync.
Know what the connector does out of the box before you design around it. The gaps are where custom logic goes.
| Chargebee entity | Salesforce object | Notes |
|---|---|---|
| Customer | Account (one-to-one) | Person accounts supported. Leads can be converted when no matching account exists. |
| Subscription | Custom subscription object, linked to Opportunities | Subscriptions can be created and managed from Salesforce; opportunities can be mapped to subscriptions. |
| Items | Products | Chargebee items become Salesforce products. |
| Item prices | Price Book Entries (+ a pricing-tier custom object) | One price book per connected Chargebee site. Tiered pricing stored in a custom object. |
| Invoices, credit notes | Custom objects | Billing documents visible on the account for sales and CS. |
| Quotes | Custom object | Chargebee quotes can be created in Salesforce and emailed to customers. |
| Coupons | Custom object | Useful for discount reporting; govern who can apply them. |
Requires Salesforce Enterprise Edition or above (Classic or Lightning). Multiple Chargebee sites can connect to one org. The package does not auto-update; upgrades go through Chargebee support. Source: Chargebee Salesforce integration documentation.
| Chargebee data | HubSpot object | Notes |
|---|---|---|
| Customer + billing fields | Contact properties | Customer ID, site name, billing address, payment method status, currency, net terms and more. |
| Subscription fields | Contact and deal properties | Subscription ID, status, MRR, plan, quantity, next billing date and amount, dues. |
| New subscription | Deal (created automatically) | Deal amount = recurring total. Trial can map to an interim stage; active sets closed won. |
| Company | Not created by Chargebee | Turn on HubSpot’s domain-based contact-to-company association. |
| Contacts and subscriptions from HubSpot | Created in Chargebee | Supported via the HubSpot-side actions. |
Up to five Chargebee sites per HubSpot account. Configure the same currencies in both systems, or deal amounts fall back to your base currency. Source: Chargebee HubSpot integration documentation.
Every recurring sync problem we fix traces back to two systems both believing they own the same field.
| Data element | System of record | Why |
|---|---|---|
| Product catalog and prices | Chargebee | Billing invoices against it. CRM products are a synced copy, locked from edits. |
| Account / company hierarchy | CRM | Sales territories, ownership and parent-child accounts live here. |
| Deal, quote and approval | CRM / CPQ | Pipeline, forecasting and discount approvals happen before billing exists. |
| Subscription status, term, MRR | Chargebee | It changes with every payment, proration and cancellation. |
| Invoices, payments, dunning | Chargebee | Finance’s source; CRM shows read-only copies. |
| Renewal and expansion opportunities | CRM, created from Chargebee dates | Forecasting needs them in the CRM; timing should come from the subscription. |
| ARR for board reporting | One agreed definition | Pick billing-derived ARR or CRM-derived ARR, document it, reconcile the other weekly. |
Filter by CRM and category. Each row is symptom, root cause, fix, drawn from billing-integration audits.
| Symptom | Root cause | Fix |
|---|---|---|
| Duplicate accounts or contacts BothIdentity | Customers created in Chargebee (self-serve signup, finance) without a CRM ID, so the sync creates new records | Create customers from the CRM, or store the CRM ID on the Chargebee customer; dedupe before go-live |
| Opportunity amount doesn’t match subscription MRR/ARR SalesforceRevenue | Opportunity amount includes one-time fees, multi-year TCV or the first invoice | Separate recurring, one-time and total contract value fields; report ARR from subscription data |
| Renewals show as new business, or never appear BothLifecycle | Chargebee renews the subscription, but nothing creates a renewal opportunity or deal | Create renewal records from subscription term-end dates, typed as renewal, 90+ days out |
| Upgrades and downgrades missing from pipeline BothLifecycle | Mid-term changes are made directly in Chargebee with no amendment record in the CRM | Route changes through an expansion/amendment opportunity, or generate one from subscription change events |
| Reps quote products billing can’t invoice BothCatalog | Products edited in the CRM, so the catalog drifts from Chargebee items | Make Chargebee the catalog owner and lock product edits in the CRM |
| Quotes use the wrong price book SalesforceCatalog | Multiple Chargebee sites connected; each creates its own price book | Restrict price books by entity or team; add a validation rule on the opportunity |
| Deal amounts in the wrong currency HubSpotRevenue | Subscription currency not configured in HubSpot, so the amount shows in the base currency | Configure the same currencies in both systems before connecting |
| Trial deals marked closed won HubSpotLifecycle | Subscription states mapped to the wrong deal stages | Map trial to an interim stage; only active subscriptions set closed won |
| Companies missing or unassociated HubSpotIdentity | Chargebee doesn’t create HubSpot companies | Turn on domain-based auto-association and backfill company associations |
| Sync errors on specific records SalesforceConfig | Validation rules, required fields or duplicate rules block integration writes | Bypass for the integration user; review sync logs weekly |
| Fields stop updating or new features missing SalesforceConfig | The package is behind; it doesn’t auto-update | Check the version under Installed Packages; request an upgrade from Chargebee support; test in a sandbox |
| Integration user can’t see or write fields SalesforceConfig | Field-level security or permission sets don’t cover the custom objects | One permission set for the integration user covering every Chargebee object and field |
| Cancelled customers still look active BothLifecycle | Non-renewing and cancelled statuses not mapped; failed syncs go unnoticed | Map every subscription status; alert on sync failures instead of waiting for quarter-end |
| License and subscription revenue reported differently BothRevenue | Hybrid models tracked on different objects with different rules | One revenue model and one ARR definition across license and subscription lines |
Rows on currency, company creation, trial stages, price books per site and package upgrades reflect behavior described in Chargebee’s documentation. The rest is JayOh field experience from Chargebee–CRM audits.
Measure it weekly. A sync that “seems fine” usually has months of silent drift behind it.
| Metric | Weak | Acceptable | Strong |
|---|---|---|---|
| ARR delta, CRM vs billing | > 2% | 0.5–2% | < 0.5% |
| Active subscriptions matched to a CRM record | < 98% | 98–99.9% | 100% |
| Renewal records created 90+ days before term end | < 80% | 80–95% | > 95% |
| Sync errors open longer than 7 days | > 10 | 1–10 | 0 |
| Duplicate accounts / contacts linked to billing | > 2% | 0.5–2% | < 0.5% |
| Manual billing re-keys per month | Routine | Exceptions only | None |
JayOh guidance thresholds from Chargebee–CRM integration work. Not survey statistics.
Disconnected billing and CRM left revenue, churn and retention varying by system. We audited the integration across creation, renewal and cancellation events, diagnosed webhook, mapping and object-structure failures, aligned the subscription model to CRM accounts, and implemented targeted fixes. Result: an accurate view of subscription revenue, reliable renewal and churn tracking, and no more manual reconciliation.
Subscription and license revenue were tracked differently across Chargebee and Salesforce. We mapped how revenue moved from deal to billing to reporting, redesigned the data model to unify both, and fixed the sync. Result: one view of ARR, bookings, renewals and churn, and clear separation of new business, expansion and renewal revenue.
Our interactive Chargebee Audit runs 139 checks across 14 domains (platform configuration, catalog, subscriptions, billing, dunning, revenue recognition and data quality), including a 48-item Chargebee-to-Salesforce integration deep dive, with pass/fail/partial scoring and CSV export.
Our pods include Salesforce and HubSpot developers who own both sides of the Chargebee integration, from data model to reconciliation.
We engineer growth systems. JayOh builds the RevOps architecture, GTM execution and data infrastructure that turn messy revenue operations into predictable pipeline for B2B SaaS and PE-backed teams.
