Chargebee Salesforce & HubSpot Integration Guide

Short answerThe Chargebee–Salesforce integration is a Chargebee package that maps customers to Accounts, items and prices to Products and Price Books, and subscriptions, invoices, credit notes and quotes to custom objects. The HubSpot app writes customer and subscription data to contacts and deals. Most sync failures come from data-model mismatches, not the connector.

01 · Data flow

How does data flow between Chargebee and your CRM?

The CRM owns the deal. Chargebee owns the subscription and the money. The integration’s job is to keep those two truths linked.

The lifecycle, step by step

  1. Catalog. Plans, add-ons and prices are defined as items and item prices in Chargebee and synced to CRM products (Salesforce Products and Price Books, HubSpot product library).
  2. Customer match. A Chargebee customer is linked one-to-one to a Salesforce Account or a HubSpot contact. Get this match wrong and everything downstream duplicates.
  3. Quote and close. The rep quotes in the CRM (native quotes, a CPQ or a Chargebee quote created from Salesforce). On closed-won, the subscription is created in Chargebee.
  4. Bill and collect. Chargebee generates invoices, collects through the payment gateway and runs dunning on failed payments.
  5. Sync back. Subscription status, MRR, next billing date, invoices and credit notes flow back to CRM records so sales and CS see billing reality.
  6. Renew and change. Renewals, upgrades, downgrades and cancellations happen on the subscription and must reappear in the CRM as renewal, expansion or churn records.
  7. Report. ARR, bookings and retention are reported from one agreed source, with a weekly reconciliation between systems.
02 · Object mapping

What does the Chargebee integration sync to Salesforce and HubSpot?

Know what the connector does out of the box before you design around it. The gaps are where custom logic goes.

05 · Health checks

How do you know your Chargebee integration is healthy?

Measure it weekly. A sync that “seems fine” usually has months of silent drift behind it.

Chargebee integration work we’ve delivered (anonymized)

Chargebee ↔ CRM

Subscription business with a broken billing integration

Disconnected billing and CRM left revenue, churn and retention varying by system. We audited the integration across creation, renewal and cancellation events, diagnosed webhook, mapping and object-structure failures, aligned the subscription model to CRM accounts, and implemented targeted fixes. Result: an accurate view of subscription revenue, reliable renewal and churn tracking, and no more manual reconciliation.

Chargebee ↔ Salesforce

Hybrid subscription + license model

Subscription and license revenue were tracked differently across Chargebee and Salesforce. We mapped how revenue moved from deal to billing to reporting, redesigned the data model to unify both, and fixed the sync. Result: one view of ARR, bookings, renewals and churn, and clear separation of new business, expansion and renewal revenue.

06 · FAQ

Chargebee integration questions

How does the Chargebee Salesforce integration work?
You connect your Chargebee site to Salesforce and install the Chargebee for Salesforce package. Customers map one-to-one to Accounts, items and prices to Products and Price Books, and subscriptions, invoices, credit notes, quotes and coupons to custom objects. Subscriptions can be created and managed from Salesforce. It needs Enterprise Edition or above.
Does Chargebee sync with HubSpot?
Yes. Chargebee writes customer and subscription data to HubSpot contact properties and creates a deal when a subscription is created, with the recurring total as the amount. It doesn’t create companies, so enable HubSpot’s domain-based association. Up to five Chargebee sites can connect.
Should Chargebee or the CRM own the product catalog?
Usually Chargebee, because it invoices against the catalog. Sync items and prices into CRM products and lock edits there. Two editable catalogs are the most common root cause of quotes that billing can’t fulfil.
Why don’t renewals show up correctly in Salesforce or HubSpot?
Chargebee renews the subscription automatically, but forecasting needs a renewal opportunity or deal. That record has to be created, usually 90+ days before term end, from the subscription’s dates. Without it, renewals either vanish from pipeline or show up as new business.
Does the Chargebee Salesforce package update automatically?
No. Per Chargebee’s documentation, you check your version under Setup > Installed Packages and contact Chargebee support to upgrade. Test upgrades in a sandbox first.
How does Chargebee fit with a CPQ?
The CPQ or CRM builds and approves the quote; Chargebee creates the subscription and bills it. See our quote-to-cash & CPQ guide for stack options, and the Salesforce CPQ end-of-sale guide if you run Salesforce CPQ today.
How long does it take to fix a broken Chargebee integration?
As JayOh guidance, an audit takes one to two weeks, and targeted fixes to mapping, renewals and reconciliation usually run four to eight weeks. A full redesign of the subscription data model takes longer, especially with hybrid license and subscription revenue.
